Bar Information

Longleaf Vineyard provides wine/beer and bartending service for events held at our venue.  Your guests will enjoy Longleaf Vineyard wines and local craft beers while taking in spectacular mountain views! LV offers 3 additional bar options...Couples' Choice Cocktails, Full Bar Package, or Full Craft Bar Package.

In accordance with North Carolina liquor licensing, pre-ceremony alcoholic beverages (on LV property) must be arranged with and provided by Longleaf Vineyard.  We are happy to offer up to 2 drinks (or equivalent) per bridal party member.

Mimosas:  $45 (supplies for 6-8 mimosas)

Beer: Domestic $4, Craft $6

Wine / Sparkling Wine:  $34/bottle

 

 

 

General Venue Information

Venue Access

Access to Longleaf Vineyard is noon until 11pm.  Extended access can be arranged, no earlier than 10am or later than 12 midnight, if arranged prior to your event and at management’s discretion.  An additional fee of $250/hour applies to extended access (this includes vendor set-up and removal time).  Note: regardless of extended time being purchased, music must end no later than 10pm.

 

Catering

Longleaf Vineyard has partnered with two local caterers to provide food service for our Inclusive Wedding clients.  Otherwise, LV does not provide catering for events held at our venue.

We offer a list of recommended caterers.  If you do not select one of our recommended caterers, LV must pre-approve use of desired caterer.

We highly recommend any outside catering company contact LV for information regarding use of our warming kitchen, general policies, and to schedule a site visit.

Catering company is responsible to provide all staffing necessary for proper food service.  Caterer is responsible for clearing and stacking ready for pick up, any dishes, flatware, glassware, serving dishes or utensils rented from an outside vendor. Caterer must collect all trash and waste generated by their service before departure from the property and place in the venue dumpster.

 

Contracted Vendors

Day-of Coordinator is required. Longleaf Vineyard offers a recommended vendor list for your use. You are not required to use these professionals; however, we do require pre-approval of your catering company (unless using our Inclusive Package) and your day-of coordinator / wedding planner.

All vendors providing services at Longleaf Vineyard for your event must complete, sign, and adhere to LV vendor terms & conditions document.  This will help ensure that your day runs as smooth as possible.

 

Ceremony Rehearsal / Plan B

One hour of ceremony rehearsal time is included. You may schedule your ceremony rehearsal to start any time between 11am – 4pm the day before your wedding date.

Plan B ceremony options are either LV’s covered pavilion or reception tent.  If deemed necessary, preferred plan B option will be discussed at ceremony rehearsal.

 

Lodging

There are numerous vacation rentals in close proximity to our venue.  The closest hotels will be found in downtown Asheville (20 min drive from LV).  Please see our vendor list for recommendations.

 

Parking & Transportation

Longleaf Vineyard has a parking lot to accommodate up to 40 cars.

If alcohol is being supplied to your guests Longleaf Vineyard highly recommends at least one form of formal transportation be made available to guests.

Mini-buses and large passenger vans can navigate venue roads; full-size buses (school, activity, coach) are not permitted.

 

Payments

First payment of $5,000 (Signature Package) or $6,000 (Inclusive Package) is due upon contract signing to reserve your event date.  A fee schedule will be determined at time of booking based on additional services and time frame between booking date and event date.

Payment forms accepted: cash, check, or credit card (cc payments incur 3.5% convenience fee).

 

Liability Insurance

We require our event clients to carry $1M event liability insurance for their event date. Please see our vendor list for recommended companies.  The most economical approach may be an “add-on” to your homeowner’s insurance.

 

General Timeline: 

Wedding ceremonies at Longleaf Vineyard generally begin at 4 or 4:30pm.  Most ceremonies do not last more than 30 minutes, followed by cocktail hour.  After cocktail hour guests make their way to the reception tent, where introductions and pre-dinner formalities take place.  This is a 30-minute timeframe that allows our bartenders to transition from pavilion to tent.  Once dinner service begins, our bartenders will be ready to serve your guests for the remaining 3 hours of bar service.  Dancing/ entertainment generally lasts an additional 30 minutes after last drink is served, guests depart, and vendors begin their breakdown and clean up.

Linens & Tableware are not provided by Longleaf Vineyard unless selecting our Inclusive Package.  Please reference our preferred vendor list for resources.  Your caterer and/or wedding planner will offer assistance in most cases.

Longleaf Vineyard will work closely with you and your wedding planner in managing your wedding day ceremony, cocktail hour, and dinner seating arrangements.

 

Décor

Longleaf Vineyard and its clients rely on wedding professionals, such as florists and wedding planners to add a touch of décor to the venue.  LV has a small collection of décor items that each event is welcome to use.   If interested, decor inventory should be previewed 60 days prior to your event for the best indication of what will be available on your event date, and again 2 weeks prior to ensure availability.

Clients often decorate our ceremony pergola with floral pieces and drapery.  Nails or tacks are NOT permitted…zip ties please!  Pergola dimensions: 134” L x 112”H x 79” D.

Real candles are permitted for décor as long as they are glass enclosed.  Sparklers are not permitted for “send off”; our vineyard is much too valuable and flammable.  Please see our event contract for additional décor guidelines.

All décor prep work must either be done off-site or during property access allotted time.   Please plan accordingly.

 

Getting ready spaces

LV provides a lovely cottage and additional getting ready space to the wedding party for the duration of property access time.  Due to the early morning nature of beauty preparation (hair/makeup), beauty prep is generally done “off-site” with final getting ready taking place in the cottage.  Early entry (prior to noon) is available for an additional fee…please inquire if interested.

For security purposes, the getting ready spaces will be locked once the wedding party is introduced into the reception.  Belongings may be kept in these spaces.  Any bridal party member needing re-entry should inquire with event staff.

Pet Policy

LV allows up to 2 pets for a maximum 2-hour time frame (ceremony/ photos).   Pets are not allowed inside Venue buildings or structures and must be “on leash” and under the supervision of an assigned pet sitter(s) at all times.

 

End of event clean-up:

Longleaf Vineyard provides set up and tear down of items provided by the venue.  Any items brought in by outside vendors must be gathered/ boxed by a designated individual (other than LV staff) or responsible vendor and removed from the venue by 11pm.  Professional event rental items must be gathered / crated/ bagged by your planner or responsible vendor and stored in a designated area for pre-determined pick up by party rental company.  Longleaf Vineyard staff will assist in confirming orders upon arrival and give guidance at the end of the event as to where party rental items should be stored for pick up.  LV is not responsible to gather or clean up any vendor items or personal belongings.  It is the client’s responsibility to make sure that each “getting ready” space is left as it was found.
